How to assess contact fields in a private company list
Check the source, purpose and date of each company contact field before using a private company list for research or outreach.
When choosing a private company list for target research, ask where each contact field came from, what that source actually published, and when it was checked. A registry identifier can anchor the legal entity, but it does not supply a current business contact route. A company-published general email or switchboard may be useful after the business and source are matched; a blank is preferable to a guessed address or a private personal contact.
Separate the contact fields before judging completeness
The UK provides a useful example of why a single “contact” column is misleading. Companies House describes its free register as a source for registered identity, status, office, filings and officers. Its formation guidance says the registered email address supplied to Companies House is not published on the public register. Neither source establishes a public general-enquiries email for a trading business.
| Field in a list | What to check | What it cannot establish alone |
|---|---|---|
| Registry identifier and status | Official register, entity match and observation date | Current trading or a contact channel |
| Registered office | Official register and address role | Trading location or preferred commercial correspondence route |
| Company website | The site’s own legal identity clues, current content and observation date | That every published claim is independently verified |
| General email or switchboard | The company-published page, exact route and observation date | A named person’s consent, a reply or interest in a transaction |
| Trading address | A separate, attributable source linking the location to this business | That the registered office is also an operating site |
A buyer should be able to tell which fields were checked, which remain blank and which source supports each value. The registered-office and trading-address guide shows the location check in more detail. In the UK, GOV.UK explicitly allows an accountant or solicitor’s address to be used as a registered office when the requirements are met. Treating that address as a trading site would turn a legal-address fact into an unsupported location claim.
Match the route to the entity and its purpose
For a general email or telephone number, open the company-published page and record the exact page and date. Check that its name, site and other public details refer to the legal entity or trading business under review. If the link between the trading name and legal entity is unresolved, mark it unresolved; the name and group-structure check explains why the match matters.
Also record the route’s stated purpose. A support address, press inbox or careers form should not silently become a general acquisition or sales contact. A published general route may help a team find the appropriate organisation, but it does not establish that a named person wants contact, that a message is lawful in a particular context, or that anyone will respond. A private company record does not indicate that the company is for sale, raising capital or open to an approach.
The same restraint applies to officer details. Companies House explains which director and service-address details are public and which residential information is kept private. A public officer record helps identify a legal role; it is not a company-published general contact route. The UK ICO’s direct-marketing guidance says public availability does not automatically make use of personal information fair or lawful. Teams planning outreach need to assess the applicable rules for their own activity and jurisdiction.
What to ask a data provider
Before relying on contact fields, ask whether the file distinguishes the registered office, an evidenced trading address, a company website, and a published organisational route. Ask for the source and observation date of each field, and how unresolved entity matches or missing routes are shown. A list with an email in every row is not necessarily more useful if those addresses were inferred, copied from unrelated entities or left without provenance.
SeekCompanies is still researching its planned markets; no file is on sale. Its coverage and field standard explains the intended separation of legal identity, operating evidence, addresses and public organisational routes. If that approach fits a market you need, the pricing and availability page explains the planned one-time licence and opens a direct market-enquiry email. No price or release date is available yet.
Frequently asked questions
Does a company register provide a contact email for outreach?
Do not assume it does. In the UK, Companies House says a company's registered email address is not published on the public register. Check a company-published contact page separately and record its source and observation date.
Is a registered office the company's trading address?
No. A UK registered office is an official address for company correspondence and may be an accountant's or solicitor's address. Record a trading location only when a separate source supports it.
Does a published director name make personal outreach appropriate?
No automatic permission follows from publication. UK register information includes some officer details for a statutory purpose. The ICO says publicly available personal information used for direct marketing still needs a fair and lawful assessment; the appropriate rules depend on the activity and jurisdiction.
What does an empty contact field mean?
It means the research has not established a supported value for that field. It does not mean the company has no contact route, is inactive, or cannot be approached. Check the current company-published source before deciding how to proceed.
